Power BI vs Excel in 2026: 12 Criteria, Real Licence Costs and When Excel Still Wins

Power BI vs Excel is not a replacement decision. Excel wins for ad hoc modelling, one-off analysis and anything that fits inside its 1,048,576-row grid. Power BI wins the moment the same report has to refresh on a schedule, enforce row-level security and reach fifty colleagues. Most Indian analyst jobs now ask for both.

30 October 2026·9 min read·By the 360 Digital Transformation Editorial Team
Key takeaways
  • The row limit is not what breaks Excel. Workbooks turn unusable a few hundred thousand rows into real formulas, long before the 1,048,576-row ceiling.
  • The licence gap is narrow. Pricing guides checked on 30 October 2026 list Power BI Pro at $14 per user per month and Premium Per User at $24, on annual billing.
  • Scheduled refresh and row-level security are the dividing line. Neither exists in Excel in a form you can defend to an auditor.
  • Hiring treats them differently. Foundit's Power BI page showed roughly 36,875 Indian listings on 15 October 2026; Excel is assumed, not advertised.
  • The PL-300 is the cheap part. Microsoft's India price is about ₹4,865 before 18% GST, roughly ₹5,741 at the till.
  • Verdict: reach real competence in Excel, then spend your next 70 hours on Power BI. That is the skill that gets your CV read.

You built the report in Excel because that is where the data was. It worked. Then the business wanted it every Monday at 9am, the file crossed 80 MB, two people edited two copies, and the regional head asked to see only his own region. That is the week people start searching for Power BI, and nothing about the first version of that report was a mistake.

Power BI vs Excel: What Actually Changed by 2026

Both tools moved in the same direction, which is why this is harder to call than it was five years ago. Excel absorbed real compute. Power BI absorbed the enterprise plumbing.

Excel stopped being formula-only

Python in Excel is generally available on Windows for paid Microsoft 365 licences that include the desktop apps, per Microsoft's support page on Python in Excel availability. The monthly premium compute allowance is limited and full compute is a paid add-on. A pandas groupby now lives in a worksheet cell, so the old line about Excel not doing statistics is dead.

Power Query sits inside both products and behaves identically. Learn merge queries and Table.Group in Excel and you have already learned the data preparation half of Power BI. That transfer is the most underrated fact here.

Power BI stopped being a chart tool

What you publish is a semantic model: tables, relationships, DAX measures and security rules that every downstream report reads from. Microsoft puts the model cap at 1 GB for Pro, and 2026 licensing guides put Premium Per User near 100 GB per model. That number decides whether your data even fits.

The same engine underpins Microsoft Fabric, so a workspace can sit on a lakehouse instead of a folder of CSVs. The assistant layer bills separately: Microsoft 365 Copilot lists at $30 per user per month on annual billing, and Microsoft's India pages show Copilot Business at a promotional ₹1,495.73 against ₹1,745 list. The analyst usually ends up owning that rollout, which is why Copilot and agent administration is now an adjacent skill.

Power BI vs Excel on 12 Criteria

Read the last column as "who wins this one job", not as a score. Nobody wins eight of twelve and takes the trophy.

Criterion Excel Power BI Who wins
Practical data ceiling 1,048,576 rows per sheet, painful far earlier 1 GB model on Pro, about 100 GB on PPU Power BI
Scheduled refresh Manual, or on file open 8 refreshes a day on Pro, 48 on PPU Power BI
Distributing to 50 people Email attachments, versions multiply One workspace link, one version Power BI
Row-level security Sheet passwords, trivially bypassed RLS roles enforced in the model Power BI
Ad hoc what-if Type a number anywhere, see it instantly Needs a what-if parameter or model change Excel
Formula language XLOOKUP, SUMIFS, pivot tables DAX, where context transition breaks beginners Excel
Data cleaning Power Query Power Query, the same engine Tie
Source control and promotion Filename_v7_final.xlsx Deployment pipelines, Git in Fabric workspaces Power BI
Working offline Everything Desktop authoring yes, sharing no Excel
Cost for one analyst Already in your Microsoft 365 licence Free tier covers solo use, no sharing Tie
Cost for 20 people No incremental cost $280 a month on Pro at list price Excel
Hiring signal in India Assumed, rarely in the job title Named in the title and the screening filter Power BI

Cost and Time: What Each One Costs You in 2026

Licensing only gets interesting at team scale, because Excel's marginal cost is zero for anyone already on Microsoft 365.

Monthly licence cost for a 20-person reporting setup

Excel adds nothing, so these bars are what the Power BI decision actually costs.

Premium Per User20 users at $24

The learning cost, which is the one that matters to you

What you spend Excel route Power BI route
Software to practise on Already licensed in most jobs Desktop is free to author in
Certification fee No credential Indian employers ask for PL-300 at about ₹4,865 before GST
Study hours for the exam Not applicable 40 to 60 hours if you model in Excel today
Hours to job-ready 60 to 80 for genuinely advanced work 70 to 100 including DAX and modelling
Portfolio artefact A workbook that is hard to show off A published report with a link you can send
Ceiling if you stop here Operations and MIS reporting Analyst and BI developer roles, then Fabric

Both halves taught on the same dataset is the sequence inside 360DT's live Data Analyst course: Excel, SQL, Python and Power BI across one 10-week arc, with PL-300 preparation built in.

A Worked Example: Two Analysts at a Mid-Size Indian Insurer

Take an illustrative scenario, because the abstract version of this argument never resolves. Two analysts support claims operations at a mid-size insurer in Pune: roughly 400,000 claim rows a month, three years of history, eighteen branch managers who each want only their own branch, and a Monday 9am management pack.

In Excel, the file hits 90 MB by month four. Each manager gets a filtered copy, so there are eighteen files and eighteen chances to send the wrong one. Recalculation takes minutes, so nobody experiments. The real cost is not a crash. It is one analyst spending six hours a week as a file server.

In Power BI on Pro, the same data compresses well under the 1 GB cap, because columnar compression likes repeated claim statuses and branch codes. Eighteen managers get one link with RLS on branch code, refresh runs at 6am, and two author licences plus eighteen viewers is the $280 row above.

Here is the part most comparisons skip: that team still opens Excel daily, because the reserving actuary pulls the model into a pivot table and adds his own assumptions in the corner of a sheet. Analyze in Excel feeds exactly that. The workbook became the last mile, not the pipeline.

What usually goes wrong here
  • You import 400,000 rows and keep every column. Dropping four unused text columns beats any DAX tuning you will attempt later.
  • You rebuild Excel formulas as calculated columns. Use measures. A column stores a value per row; a measure computes at query time and keeps the model small.
  • You test RLS as yourself. An admin sees everything, so security looks broken when it is fine, or fine when it is broken. Use "View as role" first.
  • You schedule refresh and forget the gateway. Anything behind the corporate firewall needs an on-premises data gateway, and it is always what fails at 5:55am.

Where Excel Still Wins, and Nobody Wants to Say It

Power BI is the wrong tool for a one-off question. If the CFO asks what margin looks like with a 4% price rise, you want a cell, not a semantic model. A what-if parameter, a republish and a re-share takes twenty minutes. Typing 1.04 into a sheet takes four seconds.

Excel also wins when collaboration is really negotiation. Budget rounds, reserving assumptions, headcount plans: these are documents people argue inside, and every finance team in the country argues in a workbook with comments. Pretending Power BI answers that is how BI projects die in month three.

The honest caveat on the other side: Power BI's free tier looks generous and is not. You can build anything on Desktop, but you cannot share a report usefully without Pro, PPU or capacity. Learn Power BI expecting to use it free at work and you hit that wall in week one.

Difference Between Excel and Power BI for Data Analyst Jobs in India

Employers do not treat these as two options. Excel is literacy, Power BI is a skill, and that asymmetry is the whole career argument.

Foundit's Power BI jobs page listed roughly 36,875 Indian openings on 15 October 2026, and the descriptions behind that volume are consistent: DAX, Power Query, SQL. Deloitte India postings through 2025 and 2026 for Power BI consultants ask for two to six years against exactly that trio. None advertises advanced Excel as the headline skill. All of them assume it in the interview.

How the reporting skill stack maps to advertised pay bands

Each jump is a skill you add, not a year you survive.

Excel and MIS reporting

3 LPA→5 LPA
entry band

Add Power BI and DAX

5 LPA→9 LPA
the first real step

Add SQL and modelling

9 LPA→16 LPA
BI developer territory

Add Fabric or cloud data work

16 LPA→26 LPA
data engineering overlap

Ranges that industry reports and Indian metro listings typically suggest, checked 30 October 2026. Advertised bands, not offers; they move with company tier and city.

When to use Power BI instead of Excel at work

Four questions. Does someone else need this on a fixed day? Must it show different rows to different people? Will it still be wanted in six months? Is the source past a few hundred thousand rows? Two yes answers and you are building a Power BI model, whatever the file extension says today.

The skill that beats both

SQL. The fastest fix for a slow report is a better query upstream, not a smarter measure. The 2026 version of that instinct is the semantic layer, which is why natural-language-to-SQL now reaches analytics teams and why some analysts move toward AI engineering and RAG work after two or three years. Is the PL-300 Worth Taking If You Already Know Excel

If you model data in Excel today, the PL-300 is the cheapest credible proof you can buy. Microsoft's India price is about ₹4,865 before 18% GST, roughly ₹5,741 all in, against $165 in the US. Passing is 700 of 1,000 scaled points, and renewal is a free online assessment.

PL-300 domain weights after the 20 April 2026 objectives update

Three quarters of the exam is preparation, modelling and visuals, so Excel modellers start closer than they think.

Prepare the data27.5%
Model the data27.5%
Visualize and analyze the data27.5%
Manage and secure Power BI17.5%

Published bands are 25% to 30% for the first three domains and 15% to 20% for the fourth, per the 20 April 2026 skills update. Shown at midpoints so the four add to 100.

The fourth domain fails people. Workspace roles, RLS, deployment and gateway configuration are what you never touch if you only author on your own laptop, and they are 15% to 20% of the paper. The Power BI module of the live Data Analyst programme drills those in a shared workspace, because reading about workspace roles teaches you almost nothing.

Skip the exam if you have two years of visible Power BI work and a portfolio link; it will not move your offer. Take it if you are switching in from operations, finance or support and need something a screening filter can match. Check it against the other routes in the certifications overview first, especially if PL-300 or DP-700 is the real question.

The Verdict: Which One to Learn First

Choose Excel first if you cannot yet build a pivot table from a 50,000-row export without thinking, write a SUMIFS across two sheets, or clean a messy CSV in Power Query. That is a 60-hour gap, it transfers wholesale, and skipping it is why beginners build beautiful dashboards on broken data.

Choose Power BI next, and soon, if you already do all that at work. Your Excel skill is invisible on a CV; your Power BI skill is a filter you pass. Two weekends on Power Query plus six on DAX and modelling gets you a report you can send a recruiter.

Choose neither yet if you are still deciding between analysis and data engineering. Spend a week on SQL, see whether you enjoy shaping data more than explaining it, and read Data Analyst vs Data Engineer first.

In the shoes of that Pune analyst with 30 spare hours a month, I would not spend another rupee deepening Excel. I would rebuild the workbook I already maintain as a Power BI model with RLS on branch code, publish it, and sit the PL-300 eight weeks later using that project as practice. The trade-off is worth naming: DAX context will humiliate you for a month, and the Monday pack still has to go out, so run the model alongside the workbook for three weeks rather than switching over on a Sunday night. When it holds, retire the eighteen files. If you want that sequence taught live, the Data Analyst course is where it runs, and a free webinar tests the teaching first.

Frequently asked questions

Power BI vs Excel: which one should I learn first in 2026

Excel first, but only to the level of pivot tables, SUMIFS, XLOOKUP and Power Query, roughly 60 hours. Then move to Power BI, because that is the skill named in job titles. If you already do all four at work, start Power BI this month.

Is Power BI replacing Excel

No, and the 2026 feature direction argues against it. Python in Excel reached general availability on Windows for paid Microsoft 365 licences, and Analyze in Excel exists so people can pull a published model back into a pivot table. Power BI replaces how reports are distributed, not the spreadsheet.

What is the difference between Excel and Power BI for large datasets

Excel stops at 1,048,576 rows per sheet and slows well before that with volatile formulas. Power BI compresses columnar and is capped by model size instead: 1 GB on Pro, roughly 100 GB per model on Premium Per User per 2026 licensing guides.

Do I need to know DAX to get a Power BI job in India

Yes. Indian Power BI postings, including Deloitte India's 2025 and 2026 consultant roles, list DAX alongside Power Query and SQL. You do not need exotic functions, but you need CALCULATE, FILTER, time intelligence and an honest grasp of context transition.

Is Power BI free, and can I use the free version at work

Power BI Desktop is free to author in, so it is fine for learning and for a portfolio. Sharing is what you pay for: pricing guides checked in October 2026 list Pro at $14 per user per month and PPU at $24 on annual billing, and without one you cannot distribute a report.

How much does the PL-300 exam cost in India

Microsoft's India regional price is about ₹4,865 before 18% GST, roughly ₹5,741 at booking, against $165 in the US. Confirm the figure at checkout on the Microsoft exam page, since regional pricing and taxes change.
